FULL JOB DESCRIPTION:

Job Title: Office Manager

Classification:  Exempt under Fair Labor Standards Act (FLSA)

Reports to:  Chief Financial Officer (CFO)

Summary:  This position provides support for the leadership team, office operations, and facilities maintenance.

Essential Functions:

Leadership Team Support

  • Board Support
    • Coordinate Board and Executive Committee meetings.
    • Manage weekly Board approval process.
    • Maintains conflict of interest database.
    • Assist with updates to the Board Member Manual.
    • Maintain Board documents
  • Manages National Standards process.
  • Maintains Foundation Documents and Policies and Procedures folders on Company drive.
  • Provides support for in-house meetings.
  • Provides mailing support for communications.
  • Schedules community leadership meetings.

Facilities

  • Maintains the Torch Press Building:
    • Manages the care of the building, scheduling repairs and maintenance as necessary.
    • Maintains relationships with building vendors.
    • Monitors security and telephone systems.
    • Point of contact for second floor tenant.
  • Maintains employee parking contracts.
  • Manages facility rental.
  • Performs annual inventory of office equipment and furniture and fixtures.
  • Acts as safety manager.

Office

  • Acts as liaison to vendors for function and maintenance of all office/kitchen equipment.
  • Implements document retention and destruction policy.
  • Orders office supplies and maintains organization of copier room/supply rooms.
  • Orders kitchen supplies, maintains organization of kitchens.

 Competency:

  • Excellent verbal and written communication skills to be able to work effectively with staff and vendors.
  • Strong organizational skills to be able to work independently, set priorities, and be flexible and responsive.
  • Detailed oriented to be able to manage multiple projects.

Supervisory Responsibilities:  N/A

Position Type and Expected Hours of Work:  Full-time

Preferred Education and Experience:  Similar work experience or training.
